Privacy Policy

Your privacy and data security are important to us. This policy oversees the way in which "we" (Pricecheck Toiletries Limited) and (Pricecheck Brand Partners BV) collects, uses, maintains and discloses information collected from users of the Pricecheck website, customers and suppliers.

This website is not intended for children and we do not knowingly collect data relating to children.

1. What Information We Collect and How It Will Be Used

We will only use your personal data where the law allows us to. We collect information about you when you provide it to us, when you have an open account with us, or when we feel there is a legitimate business interest between our two companies.

We may collect, use, store and transfer the following kinds of personal data about you:

  • Identity data — name, username, marital status, title, date of birth and gender
  • Contact data — billing address, delivery address, email address and telephone numbers
  • Financial data — bank account and payment card details
  • Transaction data — details about payments to and from you and other details of products you have purchased from us
  • Technical data — IP address, login data, browser type and version, time zone settings and location, browser plug-in types and versions, operating systems and platform, and other technology on the devices you use to access this website
  • Profile data — your username and password, purchases or orders made by you, your interests, preferences, feedback and survey responses
  • Usage data — information about how you use our website, products and services
  • Marketing and communication data — your preferences in receiving marketing from us and our third parties, and your communication preferences

This information is used to enable us to run our business and manage the relationship between yourself and us as effectively as possible.

Account Information

We will only use your personal data when the law allows us to. Most commonly we will use your personal data in the following circumstances:

  • Where we need to perform the contract we are about to enter into or have entered into with you
  • Where it is necessary for our legitimate interest (or those of a third party) and your interests and fundamental rights do not override those interests
  • Where we need to comply with a legal obligation

Generally, we do not rely on consent as a legal basis for processing your personal data, although we will get your consent before sending third-party direct marketing communications to you via email. You have the right to withdraw consent to marketing at any time by contacting us.

We use your contact information to send transactional communications via email. This could include confirming purchases, arranging delivery of orders, providing customer support, responding to quote requests and product queries. We may also use the phone information you have provided for this purpose.

We will retain your account information for as long as we continue to have an active business relationship. After a reasonable period of inactivity, we will delete all personally identifiable information on the account. If this is not possible — for example, where account details relate to a sole trader and could reveal personal information — we will anonymise the data instead.

Website Analytics

We collect information about your computer, phone, tablet, or other devices you use to access our website. We also collect information through your device about your operating system, browser type, IP address, URLs of referring/exit pages, and device identifiers. We use this data to analyse how people are using our website and to offer a better service depending on the device you are using.

Security & Functionality

We use cookies on our website for functionality purposes only — we do not use them for any targeting purposes. If you would like to opt out of cookies, please instruct your web browser to do so. Please note that if you do not accept cookies, you may not be able to use all aspects of our website.

When you log in to our website, we will use your IP address to monitor for suspicious activity on your account.

Marketing

We will use the information you have provided to market products we believe may be of interest to you. We will retain your marketing preferences for a period of two years. If we do not hear from you within that time, you will be removed from our marketing emails. You can unsubscribe at any time by clicking the unsubscribe link at the bottom of any of our emails.

Supplementary Data

We may obtain supplementary data from other publicly available databases — for example, linking a LinkedIn profile to your contact record, obtaining company information from Companies House, or undertaking a credit check for due diligence purposes. We use this information to expand on the data we have already collected, to analyse the accuracy of our records, and to ensure we are offering relevant products to you.

Careers and Job Applications

If you are applying for a job, we will use the data from your CV and cover letter to make decisions on your application. We do not use automated decision-making (including profiling) in our recruitment processes. Your data will never be stored outside of the EEA.

If your application is unsuccessful, all copies of your CV and cover letter will be removed from our system six months after the closing date of the vacancy.

Credit Applications

When you request a credit account, we will ask for the following proofs of ID:

  • Driving licence
  • Passport & proof of address

We use this information to verify your identity and prevent fraud. If we refuse credit, this data will be deleted immediately. If a credit account is issued, we will store your name, home address and date of birth, and remove all scanned copies of the proofs of ID and address. In the event that debt collection is required, this data may be shared with third parties to help recover the debt.

2. How We Share Information We Collect

We do not sell your data to other providers. We do utilise different cloud-based systems, which means your data is not always hosted from our main office address. However, we always carry out third-party checks to ensure that any provider has a strict GDPR policy in place.

Third Parties We Use

  • Microsoft — We use Microsoft products to store your data on our CRM system and to host our email platform. If you would like to find out more, please visit the Microsoft Privacy Policy.
  • Google — We use Google to gather analytics on our website to improve our services. More details can be found at the Google Privacy Policy.
  • GoDaddy — We use GoDaddy's servers to host our website and website database. More details can be found at the GoDaddy Privacy Policy.
  • Mailchimp/Mandrill — We use this to send both transactional and marketing material, sharing only necessary contact data. More information can be found at the Mailchimp GDPR page.
  • Klaviyo — We use this to send both transactional and marketing material, sharing only necessary contact data. More information can be found at the Klaviyo Privacy Policy.

3. How We Store Information We Collect

We use data hosting providers in the EEA to host the information we collect. All third-party providers are carefully considered and must provide assurances that your data remains secure, including verification of widely accepted standards and regulations (for example, ISO 27001).

We enforce strict internal security measures to ensure only the required individuals have access to your data. This is combined with strict password policies, dual-factor authentication, and geo-restricted access controls.

4. How You Can Control Your Information

The data we hold is yours. Under the General Data Protection Regulation (GDPR) and The Data Protection Act (DPA), you have the right to:

  • Request access to your personal data
  • Request rectification or erasure of your personal data
  • Restrict or object to the processing of your personal data

Request We Stop Using Your Information

In some cases, you may ask us to stop accessing, storing, using or otherwise processing your information where you believe we do not have the appropriate rights to do so. For example, if you believe we hold personal information about you that you did not consent to us having, you can request that we delete it.

Opt Out of Communications

You may opt out of receiving marketing material from us at any time by using the unsubscribe link within any of our emails. Please note that even after opting out of marketing emails, you will still receive transactional emails related to any orders you have placed.

5. Other Important Privacy Information

Your Rights

If you feel that we have not complied with the requirements of GDPR or the DPA regarding your personal data, you have the right to lodge a complaint with the Information Commissioner's Office at www.ico.org.uk. We would, however, appreciate the opportunity to address your concerns before you approach the ICO — please contact us in the first instance.

Changes to Our Privacy Policy

We may update this privacy policy from time to time. Any future changes will always be made with the aim of ensuring we process your data fairly, legally and transparently. We encourage you to review this policy periodically to stay informed about how we handle your information.
